Hire Agreement & Cancellation Policy

1. Parties

This agreement is between:


Owner: Oi Campers! (“the Company”)


Customer: ________________________________ (“the Hirer”)


2. Equipment and Hire

The Hirer is hiring the equipment and hire period as specified on their invoice, including:

  • TentBox(es) and any additional items listed
  • Start and end dates/times
  • Late returns may incur additional charges.

All items and dates listed on the invoice are subject to the terms of this hire agreement, including condition, deposit, liability, and return requirements.


3. Equipment Condition / Check-In

  • Both parties must inspect and agree on the condition of the tentbox at pickup and return.
  • Photographs or written notes may be used as evidence.
  • The Hirer accepts responsibility for all damage beyond reasonable wear and tear.


4. Hirer Responsibilities

The Hirer agrees to:

  1. Use the tentbox safely and in accordance with manufacturer instructions.
  2. Not modify, alter, or tamper with the tentbox. Any such action is considered misuse.
  3. Properly secure the tentbox during transport and mounting, and use only on vehicles rated to support it.
  4. Ensure safe use in all weather conditions, following manufacturer guidance.
  5. Cover any loss, theft, or damage during the hire period, including gross negligence or misuse.
  6. Be responsible for any injury, damage, or loss to themselves, their property, or third parties during hire.
  7. Not use the tentbox for commercial purposes, racing, stunts, or any illegal activity.
  8. Not use the Company’s logo or branding for commercial purposes without prior written permission.


5. Security Deposit

  • A refundable security deposit of £100 is required.
  • The deposit may be retained to cover damage, loss, theft, gross negligence, or missing accessories.


6. Payment Terms

  • The Hirer agrees to pay the total hire fee and any applicable charges as specified on their invoice.
  • Full payment of the hire fee must be received before the start of the hire period. Failure to pay in full will result in the equipment not being hired. The invoice forms part of this agreement and any discrepancies must be notified prior to the hire period.


7. Cancellation Policy

  • More than 14 days before hire: full refund of hire payment minus any booking fees
  • 7–14 days before hire: 50% of hire payment retained
  • Less than 7 days or no-show: hire payment non-refundable
  • The Company reserves the right to cancel bookings due to unforeseen circumstances (e.g., extreme weather, equipment issues); full refunds will be provided.


8. Limitation of Liability / Indemnity

  • The Company is not liable for any injury, property damage, or loss occurring while the tentbox is in the Hirer’s possession.
  • The Hirer agrees to indemnify the Company for any claims, costs, or damages arising from use of the tentbox, including claims from third parties.
  • The Company’s insurance covers only periods when the tentbox is in the Company’s possession.


9. Gross Negligence / Misuse

  • Gross negligence is extreme carelessness creating serious risk of harm, including:

    • Altering or modifying the tentbox dangerously
    • Using on vehicles not rated for its weight
    • Ignoring safety instructions causing injury or property damage
  • Any grossly negligent act voids deposit returns and places all liability on the Hirer.


10. Return of Equipment

  • The Hirer must return the tentbox in the same condition as received, allowing for reasonable wear and tear.
  • Any damage, missing items, or late returns may be deducted from the security deposit.


11. Insurance

  • The Hirer acknowledges that the Company’s insurance does not cover the tentbox during hire.
  • The Hirer may wish to obtain personal insurance to cover damage, theft, or liability during hire.


12. Data Protection / Privacy

  • The Company collects and stores personal data for booking management purposes only.
  • Data will not be shared with third parties except where legally required.


13. Force Majeure

  • The Company is not liable for failure to perform obligations due to events beyond its reasonable control, including but not limited to natural disasters, extreme weather, strikes, or other force majeure events.


14. Governing Law & Dispute Resolution

  • This agreement is governed by the laws of England & Wales.
  • Any disputes should first be addressed via good-faith negotiation or mediation before legal proceedings.


15. Customer Consent / Digital Acceptance

By signing or accepting electronically, the Hirer confirms:

  • They have read, understood, and agreed to all terms in this document.
  • They accept full responsibility for the tentbox during hire, including damage, theft, misuse, or gross negligence.
  • They acknowledge that the Company’s insurance does not cover the tentbox while on hire.
  • They agree to the payment, deposit, and cancellation terms outlined above.

They consent that electronic acceptance is legally binding.
